The ASA welcomes requests for business meetings and receptions at our 2025 Annual Meeting, November 20-23. 

Who Can Request?

ASA boards and committees, institutional members, exhibitors, and affiliated groups are eligible to request business meetings, receptions, and similar events at no charge (unless the event will require food, beverage, or additional equipment/set-up).

Locations & Times

Events can be scheduled to take place at either the conference facility or an off-site location, and can be requested for any day of the conference. As a general rule, business meetings (with our without meals) are scheduled in 100-minute blocks at 8:00 am, 10:00 am, 12:00 pm, 2:00 pm, and 4:00 pm, while receptions are scheduled for lengths between 1-4 hours, with start times beginning at 6:00 pm or later. That said, please let us know if your group has different needs and we will accommodate if at all possible.

Please note the following unavailable times:

  • Thursday, 6:00-8:00 pm
  • Friday, 6:00-6:00 pm

Food, Beverage, and Equipment

The ASA's contract with our conference facility stipulates that any food and beverage items offered on-site must be ordered through its catering service. If your on-site meeting or reception is interested in offering food and/or beverages, please make a note in your request and an ASA staff member will follow up with you to discuss options.

If your event will require special equipment or have a preferred set-up, please indicate in your request. If your requested equipment will incur any charges from the hotel, an ASA staff member will follow up with you to discuss any potential costs before scheduling.

All groups (except ASA boards and committees) are responsible for establishing credit directly with the hotel and will be billed separately from the ASA master account. Our contacts at INMEX, our conference organizing partner, can assist you as needed.

Deadline

For the best chance to receive the time and space of your choosing, please submit your request(s) by May 15, 2025. Requests received later than that date will be fulfilled on a first-come, first-serve basis.

  1. Requested times, length, and date of function
  2. Type of function (reception or business meeting)
  3. Desired location of function (at the hotel or off-site; if off-site, please include the address in the special requests box)
  4. Food, beverage, and/or equipment needs
  5. Anticipated attendance
